Ownership Verification
Sellers of property can be individuals or entities.
Individual Verification Document:
An ownership verification document should be a document which includes the sellers
name and address of the property being listed and has arrived by mail. Below are
the most common. Other acceptable verification documents are listed in the
FAQ
- Utility Bill – within previous 3 months
- Mortgage Statement – within previous 3 months
- Property tax bill or tax assessment document – within previous calendar year
Ownership verification documents generated from the Internet can also be acceptable
provided the document was obtained from a secure password protected account.
Public access websites such as county records are not acceptable as verification
documents.
Entity Ownership Verification Documents:
Entities can be in many forms: Corporations, LLC, Partnership, Trusts, Estates are
the most common.
Proof that the signor of the MLS listing authorization has the authority to sign a
contractual agreement on behalf of the entity is required for ownership verification. Proof
will be a document naming the signor as authorized such as articles of incorporation, State
Corporation Internet database document, notarized corporate resolution, or other
notarized document naming the signor as authorized on behalf of the entity.
Corporations: Corporate officer – President, VP
LLC: Managing Member(s) – all if more than one is named in document
Partnership: At least one partner signature required
Limited Partnership: General Partner signature required
Trust: Trustee – named in trust document, co-trustee signatures
required
Estate: Executor – named in estate document, co-executor signatures
required
